Alean wanted a better platform for their annual children’s drawing contest. We built a custom CRM system to handle over 3,000 entries and manage a five-step review process. It also included voting features, creating a smooth experience for families and boosting Alean’s visibility.

Client
For over 31 years, Alean has been a trusted name in tourism. The company offers access to 7,000+ hotels in Eastern Europe. With 12 million happy tourists, it's known for creating stress-free trips. Alean provides safe payments, flexible plans starting at 30% upfront, and reliable customer care. It also gives a unique experience by staying connected during vacations.
Task
When it came to the annual Children’s Drawing Contest, Alean wanted the same level of excellence they deliver to customers. The contest brought joy to families for two years, but it was clear the process needed an upgrade. Manual workflows and communication hiccups were holding back its potential. It was time to make this beloved contest as seamless and magical as their travel services.
The Challenge
Alean wanted more than a website—they envisioned a dynamic contest platform that could:
- Accept drawing submissions while collecting participant details.
- Handle a five-stage moderation process, allowing moderators to approve, request edits, or reject entries.
- Guide the contest through seamless transitions: submissions, voting, expert evaluation, and results.
- Manage over 3,000 drawings and optimize them for display without sacrificing speed.
- Provide personal dashboards where parents could track progress, make corrections, and edit profiles.
- Introduce engaging voting features for users to “like” their favorite drawings and share them on social media.
The main challenge was the five-stage moderation process. Moderators could return drawings to parents for corrections. Then, parents had to resubmit the corrected work through their dashboards. As the contest progressed, stages would shift. The shift would unlock voting features and disable the ability to upload new drawings. Only selected entries moved forward to the next stages. At the end of the contest, both the winners and non-awarded entries had to be displayed.
The system needed to support a full personal dashboard where parents could edit their profiles, as well as handle all types of image formats. Optimizing them for quicker display without compromising quality was key. With over 3,000 drawings to manage, the platform had to be efficient and easy to use for both parents and moderators.
And most importantly, the platform needed to run autonomously. Alean needed to empower its team to manage future contests without relying on developers.
